The purpose of the Bitterroot Intergroup Scholarship Program is to assist OA fellows in financial need to attend Intergroup retreats. The purpose of the Scholarship Policy is to provide uniformity in the scholarship award and distribution process and to encourage clarity and fairness while extending support to as many OA fellows as possible.
The Bitterroot Intergroup Scholarship Committee consists of the Scholarship Coordinator, Treasurer, Fall Retreat and Spring Retreat Coordinators.
1. The Intergroup Treasurer is responsible for tracking scholarship funds. The fall and spring retreats have separate scholarship funds. Funding typically comes through group donations and/or from retreat drawing/silent auction proceeds.
2. The Scholarship Coordinator has sole contact with applicants to ensure confidentiality and anonymity.
3. The Scholarship Coordinator works with the Intergroup Treasurer and retreat chairs. Any committee member may call for a committee meeting at any time.
4. Applicants may apply for a scholarship up to 6 months prior to the retreat.
5. Notification of scholarship awards will take place approximately one month prior to the retreat start date.
6. Scholarship application and contact information is provided with the fall and spring retreat registration forms.
7. Applicants complete the Scholarship Application and submit it to the Scholarship Coordinator via mail or electronic communication.
8. First time applicants are given priority. Applicants who have received scholarships in the past two years will be given lower priority and accommodated dependent on funding availability.
9. Scholarships are awarded to cover up to the maximum of the following expenses:
a. One half of the cost of a double-occupancy room in a motel/hotel/inn setting for the duration of the retreat (as is typical for the Fall Retreat, which spans three days and two nights), or
b. The room and board fee for a single person at a retreat held in a camp setting (as is typical for the Spring Retreat).
10. The Scholarship Coordinator has the discretion to approach the Bitterroot Intergroup Scholarship Committee as a group or its separate members (Intergroup Treasurer, fall retreat coordinator, and spring retreat coordinator) to request additional funding in cases of extraordinary need or special circumstances.
11. The Scholarship Coordinator is instructed to strongly encourage all applicants to perform the following activities (and provide applicants with relevant contact information to carry out the below suggestions):
a. Attend a Bitterroot Intergroup meeting.
b. Attend OA meetings on a regular basis.
c. Volunteer for service activities at the retreat, such as helping with retreat meeting room set-up and clean-up, coffee and tea service, selling drawing tickets, etc.
d. Carpool to and from the retreat.
12. Scholarship funds are disbursed by the Intergroup Treasurer and are paid directly to the retreat facility.
